Invoices arrive without their deal

HubSpot's QuickBooks Online app syncs contacts, products, invoices and credit memos. Invoices that come over from QuickBooks aren't tied to a HubSpot deal automatically, so "which wins got paid" still starts with someone matching by hand.

HubSpot's app misses older and split payments

The app only brings in QuickBooks payments created after it's connected, and a single payment applied to several invoices doesn't come over at all. Last year's collections never reach HubSpot.

The customer has a different name in each system

HubSpot has a company called Harbor Dental Group. QuickBooks has "Harbor Dental - Eastside", or the owner's name, because every customer, vendor and employee there needs a display name of its own. A report that joins on name quietly drops customers.

Won, invoiced and paid fall in different months

A deal closes in March, is invoiced in April and paid in June. Sales counts March, the books count April, and commissions may be owed on June. Each person's monthly number is right and none of them match.

Discounts and refunds never reach the deal

The deal amount is what was agreed at close. Credit memos, write-offs and refund receipts are entered later in QuickBooks, and HubSpot's app doesn't sync refunds against payments automatically. Won revenue keeps looking better than what you kept.

Changes come over on a schedule

QuickBooks entities and most HubSpot objects, deals and contacts included, sync incrementally by last-modified date. HubSpot owners and forms, and the QuickBooks General Ledger, refresh on a full sync.

QuickBooks entities come over with their whole history, up to about a million rows each. The General Ledger uses your chosen window, three years by default, on an accrual or cash basis.

No invoice, payment, deal or contact is ever written, edited or removed by Querri. Both systems stay exactly as you left them.

How do I connect QuickBooks and HubSpot to Querri?

Open Connect and ask the Connector Agent to connect QuickBooks and HubSpot, or pick each from the catalog. Sign in with Intuit and choose your QuickBooks Online company, then sign in with HubSpot. Choose what to sync, approve the load and a schedule, and both arrive in your Library.

What QuickBooks and HubSpot data does Querri sync?

From QuickBooks Online, 31 entities including customers, invoices, payments, credit memos, estimates, items, classes, bills and journal entries, plus the General Ledger report. From HubSpot, 30 standard objects including contacts, companies, deals, owners, line items, products, quotes and invoices, plus custom objects where your plan includes them.

How often do QuickBooks and HubSpot sync to Querri?

Incremental syncs can run hourly, daily or weekly and pick up QuickBooks entities and most HubSpot objects changed since the last run. Full refreshes run daily, weekly or monthly; they also refresh HubSpot objects without a change date and the General Ledger, and remove deleted rows. You can sync by hand anytime.

Does Querri change anything in QuickBooks or HubSpot?

No. Querri only reads from QuickBooks and HubSpot. It never creates, edits or deletes an invoice, payment, deal, contact or anything else in either system. Questions run on the copy inside Querri, so your books and your CRM stay exactly as they were.

How do QuickBooks and HubSpot permissions carry over?

They don't, person by person. Querri can only sync what the QuickBooks company and HubSpot account you sign in with can see. After that, Querri's own sharing and row-level access decide who gets which rows: give a rep a filter for their own deals and it applies in chat, dashboards, Claude, ChatGPT and the API alike.

Do we still need HubSpot's QuickBooks Online app?

If you use it, keep it. It moves contacts, products, invoices and credit memos between the two systems so day-to-day billing works. Querri does a different job: it reads both and answers questions across them, such as which won deals were never paid, without changing either system.

How does Querri match HubSpot deals to QuickBooks invoices?

HubSpot associations don't come over in the sync, so Querri matches on what both sides hold: deal and company names, customer names and emails, amounts and dates. It says how each match was made and flags weak ones. Set a wrong pairing straight in Facts & rules and later answers use your correction.

How do I get a closed-won vs. paid report from HubSpot and QuickBooks?

Connect both and ask for it. Querri lines up closed-won deals with QuickBooks invoices and payments, shows won, invoiced and paid by owner or month, and lists the deals still waiting. Save it as a project and a schedule can email it or send it as a formatted Excel workbook.

How do I get a commission report based on paid invoices?

Tell Querri your commission rule once, for example a percentage of payments received on deals each rep won. It ties QuickBooks payments back to HubSpot deal owners, subtracts credit memos if you say so, and can send each rep their own statement every month as a formatted workbook.

How do I get a profit and loss view when Querri doesn't sync the P&L report?

Querri syncs the QuickBooks General Ledger report and your accounts and journal entries, and a P&L can be worked out from those. The standard Profit and Loss, Balance Sheet and Aged Receivables reports themselves are not synced. Ask for the view you want and Querri builds it from the ledger.

How do I combine QuickBooks, HubSpot and Google Sheets data?

Connect the sheet that holds your sales targets or commission plan alongside both systems. Querri joins them in the Library, so you can compare won and paid revenue with target by rep or month, and the comparison updates every time any of the three syncs.

How do I combine QuickBooks, HubSpot and Intercom data?

What doesn't the QuickBooks + HubSpot sync include?

HubSpot associations and pipeline or stage names: deal stage and pipeline come over as HubSpot's internal IDs. QuickBooks reports other than the General Ledger. A QuickBooks sandbox. Some HubSpot objects, such as owners, leads and forms, only refresh on a full sync, and incremental syncs don't see deleted records.
